Privacy Policy

Last updated: October 24, 2025

Look, we get it - nobody actually reads these things. But here's the deal: we're not some huge corporation collecting your data to sell ads. We're just a shop that works on cars, and we need some basic info to do our job right.

Alright, so here's what we need from you to keep your ride running smooth:

Personal Stuff
  • Name & contact details - Can't exactly call you about your car if we don't have your number, right?
  • Vehicle info - Make, model, VIN, mileage. Pretty standard stuff we need for the work.
  • Service history - What we've done before, what needs doing next.
  • Payment information - Processed through secure channels, we don't actually store your full card details.
Technical Data
  • Website usage - IP address, browser type, pages you visit. Standard web analytics to see what's working.
  • Diagnostic data from your vehicle - When we plug into your car's computer, we pull codes and performance data.

We don't collect anything weird or unnecessary. Promise.

We're not selling your data to some marketing company or whatever. Here's the actual reasons we keep this stuff:

Service Delivery

Schedule appointments, do the actual work on your car, send you updates about what we found.

Maintenance Reminders

Shoot you a text when it's time for an oil change or that timing belt we talked about.

Billing & Records

Process payments, keep warranty records, handle any issues that come up.

Legal Compliance

Sometimes we gotta keep records for insurance, warranty claims, or regulatory stuff.

Real talk: Your service history stays with your vehicle records. If you sell your car, the new owner won't see your personal contact info or payment details.

Yeah, we use cookies. Not the chocolate chip kind, unfortunately. These are the digital ones that help the website work better.

Cookie Type What It Does Duration
Essential Keep you logged in, remember your appointment details while you browse. Can't really disable these without breaking stuff. Session/1 year
Analytics Tell us which pages people actually look at, what device you're using. Helps us fix what's broken. 2 years
Preferences Remember your language settings, whether you dismissed that popup banner, stuff like that. 1 year
Managing Cookies

You can block or delete cookies through your browser settings. Just know that some parts of the site might not work as smoothly. Here's how:

  • Chrome: Settings > Privacy and Security > Cookies
  • Firefox: Settings > Privacy & Security > Cookies and Site Data
  • Safari: Preferences > Privacy > Manage Website Data

We're not in the business of selling customer lists. But there are a few situations where we need to share info:

Payment Processors

When you pay by card, that goes through secure payment gateways. They handle the transaction, we just get confirmation that it went through.

Parts Suppliers

Sometimes we need to order specific parts for your vehicle. We'll share your VIN and vehicle details with our suppliers - that's it.

Insurance & Warranty Companies

If you're doing a warranty claim or insurance repair, we'll share the necessary service records and documentation with them.

Legal Requirements

If we get a court order or there's a legal requirement to disclose info, we have to comply. Hasn't happened yet, but gotta mention it.

What we DON'T do: Sell or rent your contact info to third parties. No spam from us or anyone we work with. That's a promise.

We take this stuff seriously. Not gonna bore you with all the technical details, but here's what we do:

Encrypted Storage

All customer data is encrypted both when stored and when transmitted. Industry-standard stuff.

Limited Access

Only staff who actually need your info to do their job can access it. Not everyone in the shop can see everything.

Secure Servers

Data's stored on secure Canadian servers with regular backups. Firewalls, monitoring, all that good stuff.

Secure Disposal

When we don't need data anymore, it's securely deleted. Paper records get shredded.

Look, no system is 100% hack-proof, but we do everything reasonable to keep your info locked down.

Under Canadian privacy laws (PIPEDA, for the acronym fans), you've got some rights. Here's what you can do:

Access Your Data

Want to see what info we have on you? Just ask. We'll pull up your records and show you.

Correct Mistakes

If something's wrong in your records (wrong phone number, outdated address), let us know and we'll fix it.

Request Deletion

Want us to delete your data? We can do that, but we might need to keep some stuff for legal/warranty reasons. We'll explain what we can and can't delete.

Opt-Out of Marketing

Don't want maintenance reminders or promotional emails? Hit the unsubscribe link or tell us to stop. We won't be offended.

Data Portability

Need your service records for another shop or for your own records? We'll give you a copy in a readable format.

How to Exercise Your Rights:

Just email us at service@fluxhavenempire.info or give us a call at (604) 555-7829.

We'll verify it's really you (for security reasons) and then take care of your request within 30 days max.

We don't keep your data forever. Here's the general timeline:

  • Active customer records: As long as you're bringing your car to us, we keep your info current.
  • Service history: We keep this for 7 years after your last visit (tax and warranty requirements).
  • Payment records: 7 years for accounting and tax purposes.
  • Marketing consents: Until you unsubscribe or after 2 years of inactivity.
  • Website analytics: Anonymized data kept for 26 months.

After these periods, we securely delete or anonymize your data unless there's a legal reason to keep it longer.
